This Privacy Policy explains how Ashfaq Academy of Clinical Medicine ("we", "us", "the academy") collects, uses, shares and protects your personal information when you visit our website, fill in a registration or interest form, respond to our advertisements on Facebook or Instagram, or contact us on WhatsApp. We are based in Lahore, Pakistan.

1. Information we collect

Information you give us

When you register for a course, register interest or message us, we may collect:

your full name;
your WhatsApp / mobile number;
your email address (optional);
your current status or qualification (for example medical student, house officer, medical officer, postgraduate trainee, consultant, nurse or allied health professional);
the course, batch and format you are interested in, and your city;
your consent to be contacted on WhatsApp; and
anything else you choose to tell us in messages, such as payment confirmations.

If you register through a Meta (Facebook/Instagram) lead form, we receive the details you submit in that form from Meta.

Registration and payment data

When you register and pay on our website, we also collect your registration reference number, the payment method you used (JazzCash, Easypaisa or bank transfer), the transaction ID, the sender's account name and number, and the payment receipt you upload (an image or PDF).

Where it is stored. Form submissions and uploaded receipts are stored securely by our website host, Netlify, Inc., and a copy of each submission is emailed to the academy's email address (wkhans1234@gmail.com).
What we use it for. Only to verify your payment, confirm your seat and keep a record of your registration. We do not use receipts or account details for marketing, and we never ask for your PIN, password or one-time code.
Who can see it. Only the academy team responsible for registrations.
In your browser. While you move between the registration steps, your details are kept temporarily in your browser tab (session storage) and are cleared when you close the tab. The registration PDF is created on your device and is not uploaded.

Information collected automatically

Advertising and attribution data. If you arrive from one of our ads, the web address may include campaign tags (such as utm_source, utm_campaign) and a Facebook click identifier (fbclid). We store these with your registration so we know which ads are useful.
Meta Pixel. We may use the Meta Pixel, a small piece of code from Meta Platforms, Inc., which uses cookies and similar technologies to record visits and actions on our site (such as viewing a course or submitting a form). This helps us measure our ads and show them to people who may be interested. Meta may combine this with other information it holds about you under Meta's Privacy Policy.
Basic technical data. Like most websites, our hosting provider may log your IP address, browser type and pages visited for security and performance.
Embedded videos. Sample lectures may be embedded from YouTube or Google Drive. These load only when you tap play, after which Google may set its own cookies.

2. How we use your information

To respond to your registration or enquiry and contact you on WhatsApp (and, if you gave it, by email) about the course you chose.
To confirm your seat, share payment details, send class links, venue details, recorded-lecture access links and notes.
To send you information about future batches and related courses. You can opt out at any time.
To issue certificates of attendance/completion.
To measure and improve our website, courses and advertising.
To keep our services secure and to meet legal obligations.

We process your information on the basis of your consent (for example, ticking the WhatsApp consent box), to provide a course you have asked for, and for our legitimate interest in running and improving the academy.

3. WhatsApp

We contact registrants from our academy WhatsApp number (+92 321 6385907). WhatsApp is operated by WhatsApp LLC / Meta, and messages are handled under WhatsApp's Privacy Policy. To stop receiving messages from us, reply STOP at any time.

4. Sharing your information

We do not sell or rent your personal information. We share it only with:

service providers who help us run the academy, such as our website host (Netlify), form and spreadsheet tools (for example Google Workspace), video and file-sharing services (for example Google Drive, YouTube, Zoom or Google Meet), and Meta (Facebook, Instagram, WhatsApp) for messaging and advertising;
our faculty, only as needed to deliver your course; and
authorities, where we are required to by law.

Some of these providers store data on servers outside Pakistan.

5. How long we keep it

We keep registration and lead information for as long as needed to provide your course and follow up about future courses, and for up to 24 months after our last contact with you, unless you ask us to delete it sooner or we need to keep certain records (such as payment and certificate records) for longer.

6. Security

We use reasonable measures to protect your information, including access limited to authorised team members and reputable service providers. No method of transmission or storage is completely secure, but we work to protect your data.

7. Your choices and rights

Ask to see the personal information we hold about you.
Ask us to correct or update it.
Ask us to delete it.
Withdraw your consent to WhatsApp or email contact at any time (reply STOP).
Control cookies through your browser settings, and manage ad preferences in your Facebook/Instagram settings.

8. Data deletion requests

To have your data deleted, including data received through Facebook or Instagram lead forms, send us a WhatsApp message at +92 321 6385907 or email wkhans1234@gmail.com saying "Delete my data", with the name and phone number you registered with. We will confirm deletion within 30 days.

9. Children

Our courses are for doctors, nurses, allied health professionals and medical students. Our website is not directed at children under 18, and we do not knowingly collect their information.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date above shows the latest version.
